How GSA per diem works for a traveling crew
Lodging is per night
Hotel per diem is paid for each night away: every day of the trip except the last. In seasonal cities the rate depends on the month of each night, so a job that runs from March into April can have two different hotel rates.
Meals are per day, 75% on travel days
Meals and incidental expenses (M&IE) are paid every day. On the first and last travel day, GSA pays 75% of the daily M&IE rate. In most of the U.S. that's $51 instead of $68 for FY2027.
Rates change October 1
The federal fiscal year starts October 1. A job that crosses that date uses the old rates before it and the new rates after. CrewDiem checks the right year for every single day.
Is per diem taxable for my crew?
Per diem paid under an accountable plan, at or below the GSA rate, documented within about 60 days, generally isn't taxable wages. Amounts above the GSA rate, and per diem on an assignment expected to last more than one year, are treated as taxable wages. Check your plan with a tax professional.
What's the standard per diem rate for FY2027?
Most of the continental U.S. uses the standard rate: $113 a night for lodging and $68 a day for M&IE, $181 a day in total. Around 300 higher-cost areas have their own rates, and the calculator finds the right one from the ZIP code.
